5 Tips to Spring Clean Your Office and Boost Productivity!

Here are our tips to help you stay organized and make your office a place of productivity…

The sun is starting to shine and the last thing anyone wants to be doing is working, inside, away from the fresh air and vitamin D. Spring is here and now is the perfect time to tackle any mess in your office! Why? Spring-cleaning your workspace can help boost your productivity, get more work done, feel more accomplished and could even get you back outside more often!

Tip #1: Filing System

Take advantage of productivity tools to help you keep your filing organized. Whether you need to tame a mountain of paperwork or sort through digital docs, there is a system that exists to help you tackle the heap. Our traditional filing systems will help keep the necessary paperwork in its place. Also try using colour to help visually keep tasks and notes sorted.

Tip #2: Make Big Notes

When a project is big and you’ve got multiple people working together, using dry-erase boards can be a huge help. Using a board can assist you in establishing goals, keeping important tasks on your radar and maintaining a sense of urgency (even while the sun shines temptingly out the windows!). Tip #3: Keep Your Desk (and Desktop) Clear

There’s a lot to do on the job and having a chaotic desk will do nothing to help you maintain your productivity and sanity at work. Take the time to do a desk clear out of unnecessary paper, clutter and throw out pens that no longer work. As they say, a tidy space makes for a tidy mind! Don’t forget your computer desktop too!

Tip #4: Plants

Put plants in your office and breath deeply! Plants can help bring freshness and peace of the great outdoors into your space. We wrote all about how awesome plants are in a workspace and boosting your health is just one of the benefits.

Tip #5: Plan Your Time

This may seem obvious but it’s one tip that often gets forgotten. Create a routine and try to stick to it. For example, block out specific times in your day to address emails. Constantly jumping from task to inbox and back can eat up your time. Another technique is to dedicate blocks of time to get a task done. For example, try focusing on a task for 25 minutes before taking a short mental break.

6 Tips for Spring Cleaning and Desk Organization

The warmer weather has arrived indicating that spring is finally here! Many people choose spring as the season to clean out the cobwebs at home and do a little cleaning. Well, just like at home, it's time for some spring cleaning at the office.

Spring cleaning is a great reason to organize your desk and reevaluate your office space. Below, we've compiled some of our favourite cleaning and organizational tips for the office in order to help you step into spring with a work space that feels fresh, efficient and, above all else, clean!

6 Tips for Spring (Desk!) Cleaning:

  1. Evaluate your desk or workstation: While you can choose to tackle spring cleaning in any matter that you wish, we recommend starting big, then narrowing down to the smaller stuff. Start with your desk as a whole. Does it need an upgrade? Could you benefit from a more organized cubicle system or desk? There's no point organizing all of your drawers and papers if you plan on getting a new desk in the near future.
  2. Upgrade your desk accessories: Consider adding a filing system to your workstation, or ergonomic accessories, such as an adjustable monitor arm, a foot rest or a keyboard tray. Ergonomic accessories relieve unnecessary tension throughout your body, allowing you to work pain free, with fewer interruptions, and be more productive at your work space.
  3. Clear your desk: If you have a cluttered desk, chances are that you also have a clutter headspace when you sit down to do your work. Keep a photo or two, or hang what you can on the walls, but leave you desk as clear as possible and free for you to do your work. Put nicknacks in drawers or take them home. Other options for making space include using a monitor arm to raise your monitor off of your desk, or a keyboard tray to keep your desk clear. 
  4. Recycle what you do not need: Go through any stacks of papers that you may have lying around and sort them into two piles. Those you do not need, which you can recycle, and those you do need.
  5. File what you do need: File the papers you do need in a way that makes sense to you so that you feel more organized regarding your work, and are able to efficiently find documents when you need them.
  6. For Future - Think before you print: For future documents, make a conscious decision to evaluate whether hardcopies are necessary. Sometime you will need to print a document, however, often, we print things out of habit. Having less hardcopies will keep your desk clutter-free and the environment happy!
